Key responsibilities:
Payroll
- Supporting the payroll process by verifying timesheets, ensuring accuracy of data and addressing payroll-related enquiries.
- Input of payroll information, including, leave, new appointments, terminations, increases and general input into the VIP payroll system.
- Input the accurate approved salary earnings’ adjustments, deductions and any fringe benefits
- Draw up all the payroll reports from VIP and share with Finance Manager
Recruitment
- Managing the recruitment process, by posting the job adverts, after approval by the Director, Regional Hub.
- Coordinate communication with candidates and schedule interviews.
- Prepare the offer letter and job offer packages
- Conducting background checks for the successful candidates.
- Processing onboarding paperwork and coordinating the induction programme with the respective supervisors.
- Conduct initial orientation to newly hired employees.
Administration
- Assist with day-to-day operations of the HR functions and duties.
- Provide clerical and administrative support to the Operations team.
- Co-ordinate and process administrative tasks related to payments suppliers within the Operations team
- Compile and update employee records (hard and soft copies).
- Process documentation and prepare reports relating to employee activities (staffing, recruitment, training, grievances, performance evaluations, etc.).
- Coordinate HR projects (meetings, training, surveys, etc.) and take minutes.
- Deal with employee requests regarding human resources issues, rules, and regulations.
- Administer complaints and grievance procedures.
Education:
- BA Human Resources Management, Business Administration or equivalent qualification
Preferred Requirements:
- Proven experience as an HR Administrator, HR Administrative Assistant, or relevant role.
- Understanding of general human resources policies and procedures.
- Good knowledge of employment/labour laws.
- Outstanding knowledge of MS Office; HRIS systems (e.g., Orange HR System) will be a plus.
- Drivers Licence
Experience:
- Minimum of 5 years of experience in Human Resource Management or a related field like Finance
- Proven track record of NGO experience
Skills:
- Excellent communication and interpersonal skills.
- Ability to handle data with confidentiality.
- Good organizational and time management skills
Work environment:
- Average of two days week, staggered as mutually convenient.
- Flexible work arrangements may be available, including remote work options.
- Flexibility to travel.
